AI Workflow Automation for Small Business
Some jobs in your office repeat every day. Sorting inbound emails. Copying order details into a spreadsheet. Drafting the same reply for the tenth time. We take one of those jobs, map it, and automate it, with a person approving anything that matters.
Starting at $3,900 for a pilot on one process, plus $390 per month to keep it running.
We have no client case for this service yet, so we sell it as a pilot. You get one working process, a before-and-after time log, and a clear answer on whether to extend it.
What you get
| Item | What it means |
|---|---|
| Scoping call | We pick one process that is repetitive and rule-based, and that costs you hours |
| Process map | Every step as it works today, who does it, and how long it takes |
| Working automation | Built for that one process and tested on your own sample data |
| Approval step | A person reviews anything the AI drafts before it goes to a customer or into your books |
| Time log | Hours per task before and after, recorded during the pilot |
| Handover notes | Plain-language page: what runs, what it connects to, how to switch it off |
The $390 monthly fee covers keeping the automation running and fixing it when a connected tool changes. The exact scope is set in your written quote.
The process
- Choose one process. Small is good. A process with clear inputs and outputs is easier to test.
- Time it today. We record how long a typical task takes now. Without this number, no result can be checked.
- Build and test. We run it on copies of your real data first, not on live customers.
- Run the pilot with approval on. You see every output until you trust it.
- Compare. We put the new time log next to the old one and tell you what we measured and what we did not.
What the pilot must save to pay for itself
This is our own arithmetic, so you can check it. The pilot's first-year cost is $3,900 plus 12 months at $390, which is $8,580. That is $715 per month on average.
To find the hours: divide $715 by what an hour of the work costs you. As a stand-in for pay, we used the average weekly wage in Lackawanna County, Pennsylvania (Bureau of Labor Statistics, QCEW, 2025 Q2, private sector) divided by 40 hours. This counts wages only. It leaves out payroll taxes and benefits.
| Sector (Lackawanna County) | Average weekly wage | Wage per hour (÷ 40) | Hours per month the work must remove |
|---|---|---|---|
| Construction | $1,466 | $36.65 | about 20 |
| Professional and technical services | $1,393 | $34.83 | about 21 |
| Health care and social assistance | $1,089 | $27.23 | about 26 |
| Other services | $716 | $17.90 | about 40 |
| Retail trade | $666 | $16.65 | about 43 |
At the retail wage, the automation must take about 43 hours of work off your team each month to cover its own cost. At the construction wage, about 20 hours. If your process takes 10 hours a month, a pilot is the wrong purchase, and we will say so on the scoping call.
What we do not promise
- We do not promise a specific number of hours saved. The time log shows the result.
- We do not promise that an AI step is always right. That is why a person approves outputs.
- We do not automate decisions about hiring, credit, or health.
- We have not measured results for client processes yet. The pilot is how we start.
- We do not replace staff. We take over one repeated task.
FAQ
Which processes suit a pilot?
Repeated tasks with clear rules: sorting inbound requests, copying data between systems, drafting standard replies, building weekly summaries. If the work needs judgment each time, it is a poor fit.
Do we need to change our software?
Often not. We check what your tools allow before quoting, and we tell you if a connection is not possible.
Where does our data go?
We list every system the automation touches in the handover notes. We tell you before we use any outside AI service, and your quote names it.
What happens after the pilot?
You choose: keep it at $390 per month, extend it to a second process, or switch it off. The handover notes explain how.
Is this the same as a custom AI agent?
No. This is one defined workflow with fixed steps. A custom agent decides its own next step and costs more. See our custom AI agents page.

Why us
- One process, measured. We time the task before we build.
- Plain numbers. The break-even math is on this page, with its sources.
- Honest scope. If your process is too small for this, we say it on the first call.

- Wages: U.S. Bureau of Labor Statistics, Quarterly Census of Employment and Wages, Lackawanna County (FIPS 42069), 2025 Q2, private ownership: https://www.bls.gov/cew/ (accessed 2026-10).
- Hourly wage and break-even hours: our arithmetic. $8,580 ÷ 12 = $715; $715 ÷ wage per hour.
